MC handover from JMC

Following the formation of the MC during the last AGM held on 4 April 2015, formalities to setup the Management Corporation (MC) including the new bank accounts are a time consuming process.

During this transition period the JMC members will handover all responsibility, assets and liabilities to the MC however until the new account is ready the service charge and payments are made to/from the JMB account which is managed by the JMC.

Once the new account is ready an audit will performed, assets handed over and the the account closed

During this transition period all expenditure is jointly approved by both the JMC and the MC.

Some previous JMC members are assisting with the above and working closely with the new MC as non-executive volunteers to ensure that there is no impact to the operation at Villa Wangsamas.

It is hoped that the new account will be ready in time of next Service Charge Invoice at the end of this month and further information will be available once the account is ready

Contacting the JMC

During the last AGM the JMB members in attendance elected a total of 10 JMC members. Following the resignation of 2 council members in 2014 there are currently 8 serving JMC members and their details can be found on the blog site. 

JMC members are parcel owners and all of the current committee reside at Villa Wangsamas. The role of the JMC is voluntary and unpaid and the VW JMC receive no allowance unlike some JMC’s.

If you don’t personally know any JMC members then there are several ways to contact them:
  1. Email to: vwm.jmc@gmail.com Please ensure that you include your name and unit number in the correspondence 
  2. Write to them via the Management Office
  3. Contact the Management Office and request their assistance in setting up a meeting 
Some JMC members from time to time try and participate on social media sites such as Facebook however formal complaints and feedback must be sent to the JMC via the official channels.

The JMC value all constructive, objective feedback so it's imperative that the correct channels are followed otherwise comments on Facebook etc may not receive the response required.

Contacting the Management Office

All Residents are actively encouraged to demonstrate a sense of community spirit and directly report any problems that they find to the Management Office without delay.

In addition to visiting the office in person Residents can email the Management Office team or call either the fixed line or the Building Manager.  The latest contact details and staff list can be found on the blog site.

It has been noted that some Residents are writing comments on the unofficial Facebook group addressed to the Management Office.

Please note that the Management Office are not on Facebook and the posting of such feedback on the group will likely lead to a delay in resolving issues or even reports getting missed.

Please be reminded that all feedback must include your name, unit number and contact details.

The feasibility of an online Residents portal is being looked into which would allow Residents to report and track issues,  view their service charge account and other important information. 

More information will be shared once the evaluation is complete and any feedback would be welcome.

Service Charge Revision

Dear Neighbour & Parcel Owner

Owing to an increase in utility costs, contractors price rises, inflation and an increase in the amount of maintenance that our building requires the 2014 proposed budget would have resulted in a deficient each month even if the 100% of the collection was achieved. Whilst the JMC are continually working on ways to reduce costs the situation would have resulted in need to reduce services and delay maintenance to ensure that we could pay our contractors every month.

During our recent AGM held on 25 January 2014 the JMB members in attendance voted to revise the current Service Charge from RM 0.165 per sq ft to RM 0.181 per sq foot effective 1st April 2014 to meet this budget challenge as well as improve the level of maintenance.

We would like to thank those residents who pay on time or even pay months in advance.

The management office team are continuing to make good progress tackling the debtors with the latest figures showing a downward trend due to regular enforcement action being taken.

As a reminder you can now pay your charges by credit card along with the existing methods of internet transfer, cheque or cash.

JMC Organisational Update 7/12/12

As mentioned in a recent post we would like to confirm it’s with regret that we have to announce the resignation from the JMC of one of our new members, En. Zulkifli b Md Ghazali due to personal commitments.

SEEKING NEW VOLUNTEERS TO JOIN JMC

Dear Residents,

In our efforts to improve the living environment at Villa Wangsamas, the JMC seeks more volunteers to come forward to help in the many initiatives that are pending.

At the recent AGM, 9 new members were elected to the JMC, bringing the total to 12 members. However, one of the new members has recently resigned due to personal commitments and 2 members were found to be ineligible.

We are seeking to fill the 3 vacant positions but any additional volunteers will be most welcomed.

To volunteer, residents need to fulfil the following criteria:

1) Be an registered owner i.e. JMB member;
2) Have a maintenance account that is current i.e. no outstanding service, sinking fund or water charges;
3) Willing to volunteer time, expertise or ideas for the betterment of our living environment.

Kindly take note that membership is purely “voluntary” in nature. Interested residents who fulfil the above criteria may submit your interest via email to the JMC at vwm.jmc@gmail.com

Proposed Management Office Renovation


The Management Office team has recently requested for funds to renovate the office. The renovations are due to several reasons:
  • The current office space is considered to be very cramped, poorly designed and not conducive to an efficient working environment.
  • We now have more personnel based at site including Accounts processing.
  • The existing CCTV panel/rack needs to be relocated to another location (centralised CCTV area).
  • Existing wiring arrangement (power points and equipment cabling) is very messy and poses a hazard.
  • There is a need for more seating for residents while waiting to be served
Whilst the JMC support this upgrade in principle, owing to the cost of the work and the imminent AGM we will submit this as a resolution at the AGM so that eligible JMB members can discuss and decide whether to support this proposal.

Based on the existing scope of work (which includes a new and extended frontage, a more open concept office and proper cabling) the cost is expected to be in the region of RM45-50K.

Update on the issues encountered during the TNB maintenance works on 15 February

On the 15 February TNB performed some maintenance which required electricity interruption to several blocks. As a result of this work several serious problems were encountered and we would like to provide an update on the various items:

Towers Affected

The letter received from TNB listed only a few towers but the power cut was extended to other towers as well. We understand that this caused great inconvenience however the root cause was TNB making a mistake by failing to list all affected the towers correctly.

Lifts

The lifts and some common are lighting are backed up by generators which are maintained on a regular basis and worked correctly when the power was cut.

When power is cut there is a short period before the generators start and the service is resumed. Following this period the lifts in tower G failed to restart due to the electronics requiring a password which the previous lift company had implemented. The previous lift company (Kone) were contacted and a delay was incurred before their engineer arrived and the necessary information was given following which the service was resumed.

Access Cards

Unfortunately many people encountered problems following the power cut and the access card contractor was called to investigate. The initial finding ware that the local controllers which manage the various zones encountered a software corruption when the power the cut which resulted in many cards failing to work. The problem was resolved by the technician rending the database details to each controller.

The JMC are concerned about the stability of the system and will investigate the options available to add resilience to the system when power interruptions occur.

If any residents are still encountering issues with their access cards then please contact the management office and provide your card details.

Management Office

Several complaints were made about the poor response by the staff to issues raised by residents The JMC take these complaints very seriously and have relayed our discontent to the new building manager (En Habib) and the Operations Director (Mr. Kelvin Tan). We have been assured that these problems will not occur again and will be monitoring the standard of service.

Lift Renovation Update

The condition of the lifts has been an issue for some time and the JMC have been working on producing a plan address the issues.

Over the past few months the JMC performed a tender exercise for an upgrade to the lifts by renovating the car interiors as follows:

• Hairline Stainless Steel walls and doors
• Rubber stud flooring
• Full height door sensors for additional safety
• CCTV

The 9 bomba lifts would have a different interior to due to their use for movers and daily rubbish removal.

Villa Wangsamas has 27 lifts and owing to the scale of the project it requires major expenditure in the region of RM400k.

Unfortunately owing to the scale of the project and it’s expenditure it will have to wait until the AGM (tentatively in June) to get the JMB approval and funding either through an increase in sinking fund, a one off payment per person or funds permitting from the sinking fund reserves.

The income and expenditure reports have been published on the blog and from these it’s clear that the sums collected are inadequate for anything more than light maintenance. The 2008-2010 sinking fund has now been handed over to Villa Wangsamas JMB however they are in the form of debtors and will not be available until the debt recovery exercise is successfully carried out. The current sinking fund is also in the form of debtors due to insufficient cashflow each month.

During the previous AGM the proposal to revise the rates to a sufficient level was rejected by the JMB at last so we have to live with the funds we have and focus on reducing costs in order to balance the books.

It is planned to share the upgrade proposal well before the AGM to allow people to fully understand what is being proposed and provide feedback.

We hope each and every member off the JMB will attend the AGM and support the long overdue upgrade plans for the lifts are other projects.

JMC Organisational Update 13/12/11

Following the recent resignation of the Chairman the JMC met on Saturday 10th December and agreed on the following appointments from the committee with immediate effect.

  • Izhar Yusoff Bin Wanteh Kamal has accepted the position of Chairman and will relinquish the position of secretary
  • Robert Wheatland has been appointed as Secretary

Meeting with JMC @PV10

The JMC is always looking at how to improve and to forge relationships to help bring better results. With this in mind we are contacting other JMC’s and planning several fact finding trips and relationship building visits over the next month or so.

On Saturday 3rd December we visited the JMC team at Platinum Lake Condominium (PV10) in Setapak. The meeting was very interesting with many ideas and advice shared. 

Our meeting ended with a tour of the facilities and several good ideas and initiatives will be urgently looked into at Villa Wangsamas

We would like to thank the Mr Benson See,  En M. Fairuz Ibrahim and the rest of the team at PV10 for their time and hospitality and we look forward to their visit to Villa Wangsamas and collaborating with them in the future.
